Salary offers are based on the candidate's equivalent experience and internal equity with other employees within the same job classification. This position is eligible for overtime compensation for all hours worked over 40 in the designated workweek.

About the Position

As the Management Assistant, you will support Real Property Specialists, Senior Real Property Specialists, and the Real Estate Manager. The Management Assistant will contribute to the planning and coordination of processes and procedures for the General County Division.

We Require

  • Two years of experience providing administrative, technical, and analytical support to management and senior staff

  • Associate degree in public administration, business administration, or relevant field

  • An equivalent combination of post-secondary education and/or job-related experience may substitute for the minimum qualifications on a year-for-year basis

We Value

  • Bachelor's degree in real estate, business administration, or a STEM field

  • Two years of work experience in any of the following: acquisition of real estate; real property rights; title and escrow services; contract or grant writing; government land operations; land planning; property engineering; space leasing; property management; and real property appraising/assessing

  • Highly proficient with Microsoft Word and Excel

  • Experience with ESRI ArcMap or ArcPro

Job Contributions

  • Monitor status/tracking of Board meeting dates and Board agenda items, project timelines, deadlines, and other expirations, such as escrow closing, vendor assignments, and lease expiration

  • Coordinate, manage, review, prepare, and upload the Board of Supervisor Agenda and submit agenda items and electronic documents for supervisor review and approval

  • Assist the Real Estate Manager with managing the RED General County lease/license/county fee portfolio. Also responsible for organizing digital project files associated with the portfolio

  • Assist the Real Estate Manager with the D780 Preliminary Annual Validation Audit and GASB87 Lessee Leases

  • Work with department leads and supervisors to evaluate, establish, and document processes and procedures to streamline for efficiency

  • Assist the division by analyzing the volume of the portfolio and trends. Create correspondence, reports, or other materials for review or official signature

  • Records retention process, training, indexing and research

  • Manage projects by establishing objectives, determining priorities, managing time, gaining the cooperation of others, monitoring progress, problem-solving, and making necessary adjustments to the plan

  • Engage in continued learning as assigned

  • Maintain a positive professional working relationship with other employees, agencies, clients, customers, and the public

Working Conditions

  • Position is typically office or administrative work and is not substantially exposed to adverse environmental conditions.

  • Ability to lift up to 10 lbs. occasionally or negligible weights frequently; sitting most of the time

  • Possess or have the ability to obtain, by the time of hire, a valid Arizona driver's license
