Position Summary

The Loan Originator Assistant provides administrative support in the production and management of mortgage loans, while assisting customers in a courteous, professional, and confidential manner.

The following duties are intended to provide a representative summary of the major duties and responsibilities and ARE NOT intended to serve as a comprehensive list of all duties performed by all employees in this classification. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional duties.

Essential Duties and Responsibilities

  1. Performs general administrative support for Mortgage Loan Originators, including answering phone calls, filing, photocopying, typing, managing calendars and contacts, ordering supplies, receiving and distributing mail, and delivering loan documents.
  2. Set up mortgage application files and request verification of all information received in the mortgage loan application via letters to employers, banks, creditors or by alternative documentation acceptable to the secondary market. Perform necessary follow up, order credit reports, appraisals, and prelims as needed.
  3. Input the loan application, print out applicable origination documentation and required disclosures for borrowers' signatures. Review Documentation for accuracy as well as completeness.
  4. Provides pro-active customer service and problem resolution, including researching and resolving customer inquiries.
  5. Compose and prepares business correspondence.
  6. Collaborate with loan processor to ensure smooth transition of work.
  7. Arrange for the pickup and delivery of documents, brochures, loan packages and other miscellaneous items, as needed.
  8. Assist with preparation of loan files and documentation requests for internal and external audits/exams.
  9. Follow applicable state & federal laws and regulations.
  10. Comply with company, FNMA, FHLMC, FHA, VA and industry standard rules and guidelines.
  11. Other duties as assigned.

Qualifications

Education

  • High School Diploma or equivalent.

Experience

  • Two years of general administrative experience in an office environment.
  • Experience in mortgage, consumer lending, or other related field preferred.
  • Related military education/experience may be used as a substitute for education or work experience.

Licenses & Certifications

  • This position may require accurate and current registry with the National Mortgage Loan Licensing Registry to include annual renewals and submission of fingerprints every three years, and must pass a criminal background check.

Knowledge & Communication Skills

  • Ability to read, write, and speak English sufficiently to comprehend, analyze, and effectively communicate business memorandums, technical procedures, and government regulations.
  • Must be able to compose business letters.
  • Strong interpersonal and customer service skills.

Analytical & Decision Making Skills

  • Ability to perform basic math calculations.
  • Detail oriented and have good attention to detail with the ability to proof read documents for accuracy and processing transactions accurately.
  • Self-directed, able to work independently without supervision, and be able to prioritize multiple projects to meet firm deadlines.

Computer/Software/Other Equipment Skills

  • Able to comprehend and respond to new software and program upgrades.
  • Intermediate knowledge of MS Office Suite, including Word, Excel, PowerPoint, and Outlook. Ability to operate standard office equipment such as PC, printer, fax/copier, and telephone.

Working Conditions

  • The noise level in the work environment is usually moderate.
  • Work is performed in a professional office environment.
