Candidates with a background in managing teams and expertise in utilizing learning platforms such as Ampflire and UPerform are strongly desired. This combination of leadership experience and technical proficiency will be valuable in ensuring the successful training of EHR systems.

The EHR Training Manager is responsible for the overall EHR training program for VCU Health including project management, end user training and support, and EHR optimization. The EHR Training Manager is responsible for developing the strategy for and leading a comprehensive end-user training and education program for the Epic EHR throughout the health system (i.e. hospitals, clinics, procedural/surgical sites, ancillary services, support services, and Long-Term Care.

The EHR Training Manager oversees the full lifecycle of learning including onboarding new employees, training/re-training new functionality, training programs for new sites going live on the EHR, and continuous learning opportunities to improve employee proficiency/efficiency and deepen technology skills. The role includes development of training plans and supplemental educational materials, course catalog maintenance, end-user proficiency assessments, training facility management, training schedule maintenance, management of 3rd party software used in conjunction with curriculum delivery, updating EHR training materials on a regular basis.

Essential Job Statements

  • Manages all aspects of training related to the Epic EHR. Plans, organizes and supervises the delivery of a comprehensive education program in accordance with the mission and strategic goals of the organization. Includes development of lesson plans and supplemental educational materials, course catalog maintenance, end-user proficiency assessments, training facility management, training schedule maintenance, management of 3rd party software used in conjunction with curriculum delivery, updating EHR training intranet site, etc.

  • Provides project management for EHR training related initiatives including EHR upgrades and enhancements. Assumes accountability for project team activities. Reports completion, status, priorities, and expected completion date of such activities to senior leadership.

  • Sets clear priorities and manages multiple and competing demands. Works with leadership to balance the interests of different constituencies as needed. Able to shift resources and adapt methods to meet training needs and achieve best outcomes. Assumes accountability for project team activities.   • Engages and partners with project teams to contribute in efforts across initiatives related to project management, scope management, and issue escalation. Attend project meetings and monitor/address/escalate issues.

  • Consults and negotiates with sponsors and stakeholders to identify and solve for end user training needs. Able to effectively translate end user problems and new tools/technology into actionable training solutions. Engage and partner with stakeholders to develop new initiatives to support the strategic direction of the organization and ensure training expectations are defined and met. Works to continuously improve the user satisfaction of services related to EHR training.

  • Maintains an understanding of training trends and best practices. Determines the types of curriculum delivery methods (such as instructor led classes, e-learning/asynchronous, and blended learning) that will best serve organizational goals & end-user needs. Stays abreast of emerging/innovative learning technology that can be leveraged to deliver training in new manners that increases convenience & effectiveness of training program and improves employees' efficiency and productivity in using the EHR.

  • Oversees the development of training schedules, agendas, course materials, job aids and post-training competencies that are role specific. Supports development of training material in multiple training modes as appropriate. Deliver learning solutions on time, and actively measure outcome and process metrics and propose actions based on data.

  • Develops and manages a team of high performing people through effective hiring, coaching and performance/talent management processes

  • Helps support staff (Help Desk, Super Users, Embedded Support, Informatics, etc.) stay abreast of changes or updates to processes, workflows, or policies related to software used to support patient care

  • Foster a collaborative, supportive, success-oriented team environment where resources are engaged, empowered and accountable to meet work requirements in a timely manner with innovative results

  • Ensure responsibility and visible commitment of diversity, equity and inclusion programs/initiatives through collaboration and implementation of initiatives across the health system.

Employment Qualifications


Required Education:

  • Bachelor's degree in a health care, business, or technical field (i.e. Instructional Systems, Instructional Design, Learning and Development, Education, Organizational Development, HealthCare Administration, Information Technology, Business, or other relevant discipline) or commensurate experience in adult training and learning is required.

Preferred Education:

  • Advanced degree in Adult Education is preferred.

Licensure/Certification Required:

  • Current and active clinical license and/or certifications and/or registrations in area of clinical expertise

  • Must be certified in Epic module(s) appropriate to area of responsibility as determined by leadership if applicable.

  • Each project and exam as determined for the specific roles must be passed within three (3) attempts.

  • Successful Epic certification(s) completion required within 60 days of final training.

  • Maintain required Epic certification for appropriate role.

Licensure/Certification Preferred:

  • Epic Certification(s) preferred

  • Diversity Equity and Inclusion certification preferred

Minimum Qualifications

Years and Type of Required Experience

  • 5+ years of experience in healthcare technology education required, with a track record of strong strategy & execution skills. Significant clinical experience with training responsibilities may be accepted instead.

Other Knowledge, Skills and Abilities Required:

  • Demonstrated capability for problem solving, decision making, sound judgement and assertiveness.

  • Experience with leading the planning and delivery of learning projects and programs, management of multiple system trainers across several practice locations, and/or similar leadership role with related scope in managing projects/staff.

  • Expertise should include ability to envision and design training programs & services that meet consumer needs and solve business problems, implementation and maintenance of EHR system, and strong working knowledge of clinical operations and financial/billing operations.

  • Adaptable, open to change and able to work in ambiguous situations and respond to new information or unexpected circumstances.

  • Ability to focus on details and technicalities while simultaneously retaining a comprehensive vision of the big picture.

  • Works well under pressure and manages several responsibilities with ease and composure.

Working Conditions
