*Hybrid Schedule offered: Monday-Wednesday in-office, Thursday-Friday flexible/remote days.*

Responsible for assisting and performing administrative duties for one or more professional and/or managerial team members.

What You'll be Doing:

  • Sample & Advertising Coordination for Division
  • Request and track samples with vendor, import and domestic
  • Receive, log/tag and distribute in-coming samples
  • Organize and manage team sample room, including in-season and post season donations, per buying team direction
  • Partner with buying teams on approved advertising samples
  • Tagging approved photo samples and submitting to photo-studio
  • Collect and return used photo samples to team sample room or donate samples, per buying team direction
  • Coordinate with buying team and return samples to domestic vendors
  • Coordinate pre-laydown meetings with page layouts and samples, per buying team's direction
  • Coordinate laydown meetings with advertising and buying teams
  • Update buying team's advertising notes with pre, first and final proofs
  • Schedules meetings and appointments and manages calendars for DMM/Director
  • Makes travel arrangements for buying team and DMM/Director
  • Submits expenses and reconciles budget vs. plan, per period for DMM/Director
  • Creates ARIBA purchase orders and prepares invoices as needed
  • Anticipates and prepares materials needed for conferences, correspondence, appointments, meetings, etc. for DMM/Director
  • Performs work of confidential nature such as assisting in maintenance of wage/personnel records and corporate documentation for DMM/Director
  • At buying office direction, request CAD images from vendors to organize and collate with corresponding worksheets, and file by vendor to create of log of purchases with images
  • Coordinate all aspects of a meeting presentation, including room preparation, audio/visual connections, printouts/documents and other materials

What You Bring with You (Qualifications):

  • High school diploma required.
  • Some college preferred, areas of focus to include finance, HR, marketing, and business.
  • 1-3 years of experience supporting a corporate officer or 3-5 years of experience in an office setting/administrative capacity.
  • Previous experience working in a large organization.
  • Proficient in the use of the desktop applications and the primary software used within the department where support is provided. May be required to design reports, charts, graphs and presentations, plus have the ability to operate standard office equipment.
  • Knowledgeable of organizational policies, procedures, and operations.
  • Strong interpersonal skills necessary to deal courteously and effectively with top leadership and a diverse group of callers and visitors.
  • Maintains a highly professional image and conducts business in this manner.
  • Ability to maintain confidentiality, exercise diplomacy and judgment.
  • Ability to be resourceful, take initiative, follow through, and anticipate theneeds of the First Assistant.
  • High level of organizational skills, attention to detail, and ability to prioritize multiple tasks.
  • Analytical abilities sufficient to gather and interpret corporate data for the solution of problems.
  • Sound decision making skills, problem solving skills, and the ability to work independently.
  • Knowledge of Microsoft Office Suite.
