The Manager Medical Staff Office coordinates the operational aspects of medical staff credentialing, appointment and reappointment processes and official communications with agencies and institutions regarding the members of the Medical Center's medical Staff. Ensures that the activities of the Medical Staff Office contribute to the Medical Center's Goals and Objectives.

Responsibilities

  • Coordinates all activities relating to appointments, reappointments, changes in status and promotions of all Medical Staff members, including physicians, dentists, and members of the Associate Medical Staff, in accordance with the standards set forth in the Medical Center's Bylaws, Rules and Regulations, Federal and State regulations, and Joint Commission guidelines. Maintains confidentiality of large amounts of information.
  • Processes appointment and reappointment applications within timeframes specified in the Bylaws or as requested. Assures that records are accurate and complete. Responsible for assuring that Department Chairs and Division Directors review applications.
  • Coordinates monthly Credentials Committee meeting. Generates accurate Credentials Committee minutes prior to the next Medical Executive Committee meeting. Responsible for taking appropriate action on Committee decisions.
  • Collaborates with Chairs, attending physicians, and hospital administrators on Medical Staff membership issues. Consults with leadership on issues identified through the appointment and reappointment process.
  • Prepare reports for the Medical Executive Committee on behalf of the Chair of Credentials Committee and the Medical Director relating to credentialing and the Treasurer of the Medical Staff relating to medical staff funds.
  • Responsible for ensuring that all new and reappointed Medical and Medical Associate Staff members are appraised of Committee and Board of Director decisions
  • Coordinates the operations of the Medical Staff Office to ensure compliance with administrative policies and procedures and the Medical Staff Bylaws. Determines Medical Staff Office goals and objectives with the VP.
  • Develops systems for implementing policies and procedures, and for achieving Medical Staff Office and institutional goals and objectives.
  • Maintains PC-based computer systems and databases which support Medical Staff Office functions. Provides information needed to maintain system aspects of medical staff information. Assures accurate and timely collection and coordination of Medical Staff related information; assures data entry and the production of various reports, personnel listings, rosters, etc.
  • Maintains active and inactive Medical Staff Records. Tracks, requests, and files necessary information to assure files contain current licenses, insurance, and other documents specified in the Medical Staff Bylaws.
  • Responds to requests by administration, departments, other healthcare facilities, insurance companies, and regulatory agencies for information about medical staff membership privileges. Uses independent judgment, with consultation as needed, in determining appropriateness of request and bounds of confidentiality.
  • Responsible for submission of inquiries to the National Practitioner Data Bank (NPDB); reviews reports generated by NPDB and communicates information as appropriate.
  • Responsible for all official responses to requests for information from outside sources regarding affiliation of Medical Staff Members.
  • Assures maintenance of current and accurate roster, directory and reference source for privileges.
  • Maintains Medical Staff financial accounts.
  • Reconciles Medical Staff checkbook on a monthly basis and prepares a report of revenue and expense.
  • Issues checks for Medical Staff expenses after obtaining required signatures from two Medical Staff Officers.
  • Collects and records payments of Medical Staff dues and maintains a system to facilitate identification and resolution of unpaid dues.
  • Responsible for coordinating the activities of specified Medical Staff committees (in addition to Credentials Committee, noted above): general Medical Staff Meeting (PAD and OBD); Bylaws Committee; Nominating Committee; and ad hoc committees as they are constituted from time to time.
  • Prepares information as requested for President, Medical Staff and Medical Director for determination of Medical Staff committee appointments. Notifies staff members, in writing, of committee assignments by the end of January of each year. Coordinates Medical Staff elections for at-large members.
  • Supervises medical staff administrative professionals who support medical staff departments, divisions, and various other aspects of the activities of the Medical Director and the Medical Affairs Division.
  • Coordinates recruitment and selection for employment. Assigns duties.
  • Supervises work performance.
  • Evaluates staff performance and takes corrective action as needed.
  • Keeps current on concepts, techniques, and regulations relevant to areas of responsibility. Communicates appropriate information to peers and superiors; makes recommendations to superiors on ways to respond to current developments in the field.
  • Responsible for assuring compliance with standards relating to Med Staff Services of JCAHO, Federal, and State Agencies.
  • Responsible for initiating annual review of the Medical Staff Bylaws and Medical, Staff Rules & Regulations identifying changes necessary to maintain current compliance with accrediting agencies. Assures that Rules and Regulations reflect changes in Medical Executive Committee policy.
  • Works closely with the President of the Medical Staff to coordinate Medical Staff Activities.
  • Other duties and/or projects as assigned.
  • Adheres to HMH Organizational competencies and standards of behavior.

Qualifications

  • Bachelor's Degree.
  • Minimum of five years of experience in a Medical Staff Office in an acute care hospital.
  • Prior supervisory experience.
  • Excellent written and verbal communication skills.
  • Proficient computer skills that include but are not limited to Microsoft Office and/or Google Suite platforms.

Licenses and Certifications Preferred:

  • CMSC or comparable medical staff credentialing certification.
