Job Description Summary:The Senior Membership Associate manages projects or functions specific to maintaining the membership database and other records for its members and assists the membership director with the organization's program to serve its members. Provides technical support related to digital media, audio-visual coordination, database maintenance, and other hardware and software support for membership services. Applies specific and professional-level knowledge to perform responsibilities requiring the identification and analysis of complex factors to determine best course of action.

Uses independent judgment and discretion but may receive guidance or expertise from supervisor or higher-level staff on more complex problems. Establishes processes and/or procedures to ensure the effective and efficient operation of assigned functions. Develops related materials, provides advice on matters related to area of responsibility, and ensures successful management and execution of assigned projects for membership-related functions and activities.

Job Description:

ESSENTIAL JOB DUTIES:
1. Performs all data entry accurately, ensures that all data entered is accurate, and manages NAE's membership database and update to members' committee appointments. Creates and maintains web-based and other electronic databases and resources. Executes assigned projects using customized database system and other database tools. Monitors data integrity and performs data entry, generates reports, and prepares membership data analyses.
2. Participates in institutional membership user group meetings for continued development of the shared database system with NAS/NAM/NRC. Works with database conversion team to review and develop standards of practice for academy membership departments.
3. Provides support for web sites and reviews web content. This includes ensuring member access, such as assistance with forgotten passwords, and general troubleshooting for the web sites.
4. Responsible for directory verification program and assists with proofing and finalizing of Directory for online and printed publication.

5. Coordinates services for members while onsite (for example, may oversee a members' center). Greets and assists members, and ensures that their needs are met.

6. Plans logistical arrangements and conducts Section meetings and other events and activities. Ensures adherence to bylaws and institutional procedures. Answers procedural questions about Section elections and Section meetings and ensures deadlines are met. This includes working closely with the chairs of 12 NAE Sections on annual in-person section meeting preparations and virtual interim meetings through the year. Develops and distributes appropriate materials and targeted messages for related activities.

7. Creates computer-based files for both print and electronic publication to support member service activities and may execute layout and design. Creates computer-based presentations. May record presentations and events in audio and video formats. Plans and conducts set-up of audio, visual, and computer needs for meetings and events. May research/advise membership office on audio, video, and computer requirements and purchases.
8. Administers New Member program from the announcement activities for election through induction ceremony and related activities - notifications to congressional reps and embassies. Responsible for all preparation aspects and execution of the new membership class induction ceremony.
9. Provides lead support for Annual Meeting includes working closely with the chairs of 12 NAE Sections on section meeting preparations, logistics - AV, section dinners, ensuring agendas and minutes of meetings are distributed, submitted, and posted on section pages. Monitors and prepares reports on new member registrations, hotel reservations, and formal dinner RSVPs. Oversees preparation and schedule for the Information Desk and supervises on-site staff volunteers.
10. Assists Director with the Anniversary program during the meeting. Works with AV staff and photographer to record the meeting. Obtains photographs for posting to the website and print copy distribution to members.
11. Oversees and coordinates services for members while onsite (for example, may oversee a members' center). Greets and assists members and ensures that their needs are met.

12. Supervises temporary help. Ensures delegated tasks are completed accurately and in a timely fashion. Ensures consistent application of organizational and departmental policies. May supervise Membership Associates or Membership Assistants.

JOB SPECIFICATIONS

Required Knowledge, Skills, and Abilities:

  • Experienced/advance skills in using database management systems, basic knowledge of SQL, relational databases, Impexium platform or other similar database platforms (Salesforce, etc.).

  • Understanding of legal and ethical considerations related to membership data, privacy laws, and organizational policies.

  • Keen awareness for data integrity and high level of accuracy and attention to detail in work.

  • Proficiency in office software (e.g., Microsoft Office Suite), project management software, and the ability to learn new technology quickly.

  • Strong interpersonal skills to interact effectively with other staff and members, resolve issues, and provide excellent service.

  • Ability to manage multiple projects simultaneously, including planning, executing, and evaluating membership programs and events.

  • Experienceworking in complex environments with a high degree of organizational effectiveness.

  • Excellent written and verbal skills with an ability to timely and effectively communicate the progress and completion of projects/tasks with members and internal staff involved.

  • Ability to work successfully in a team environment.Ability to exercise some latitude for independent judgment and action.

PREFERRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • Experience in planning, organizing, and executing successful events and meetings for members.

  • Ability to propose and implement innovative solutions for improving membership experience and operational efficiency.

  • Ability to conduct deep data analysis for insights on membership and membership services effectiveness.

  • Experience in leading teams, supervising staff, and fostering a collaborative work environment.

  • Ability to develop relationships with co-workers and employees in other National Academies' departments through effective communication.


Minimum Education/Training Requirements: Bachelor's degree in a related field, or equivalent knowledge.
Minimum Experience: Three years of related professional experience.
Physical Capabilities: Ability to work at a computer for extended periods of time.
Required Licenses, Certification or Registration: None.
Supervisory Responsibilities/Controls: Reports to Director. General direction is provided. May supervise Membership Associates or Membership Assistants.

Compensation Range: The National Academies of Sciences, Engineering, and Medicine support equity, fairness, and transparency in our compensation programs. An estimated compensation range for this position is $68,160 - $93,715. Compensation offered to the selected candidate will be based on the candidate's relevant knowledge, skills, and work experience, commensurate with compensation of current employees in comparable positions with similar knowledge, skills, and work experience, and subject to budget parameters. Note it is not typical for a candidate to be hired at the higher end of the range.

Work Environment:Hybrid Office/Telecommute environment, expected onsite percentage 40%, with occasional travel between National Academies' facilities and to off-site meeting/sponsor locations.
