Job Description

Job Summary

Provide administrative support to department director and Standards Department staff related to the overall administration of the department and API's upstream, midstream, petroleum measurement and downstream standards program.

Duties/Responsibilities

  • Administer department financial-related activities as requested. Code and process invoices. Serve as Standards Department Contract Administrator, work directly with the Office of the Chief Legal Officer staff and as principal liaison to the Financial Operations department.
  • Respond to phone calls, e-mail, and fax requests from general public as well as members. Redirect and refer calls and follow-up on actions as appropriate.
  • Work with API Standards team members to administer API committee-related activities for the upstream, midstream, petroleum measurement, and downstream standards program including committee applications, the preparation of correspondence, maintenance of websites and databases for committees and subgroups including conducting member availability polls, the preparation and posting of meeting announcements, minutes, ballot results and other related committee support items. Process Microsoft Team and other virtual meeting platform requests and technical support during conference calls and conferences. Coordinate with API Publishing to ensure the accuracy of all for-sale publications information.
  • Maintain records, initiate activities and generate activity reports using API's CRM RIK, the API Standards Tracking Database, and the API e-balloting system.
  • Participate in monthly department and staff meetings to review status of the production of standards publications and update the department on administrative activities related to the overall Department.
  • Work with the API events staff to coordinate committee meetings for the Committee on Standardization of Oilfield Equipment and Materials, Committee on Petroleum Measurement, and the Committee on Refinery Equipment. Work with the Standards staff to compile agendas and conference materials for the attendees, update rosters, post meeting minutes and provide general support during both meeting preparation and post-conference follow-up. Develop annual Years of Service Reports for committee members and assist in API service awards.
  • Identify and recommend means to improve and/or streamline departmental procedures and processes.

Key Relationships

  • Interact daily with other API departments, committee members, industry representatives on topics related to API standards and technology objectives.
  • Provide technical support to department with Microsoft Office Suite applications including but not limited to Access, Excel, SharePoint, PowerPoint, Word, Teams, and RIK.

Qualifications

  • Requires 4-6 years of experience in a similar role and subject matter expertise.
  • Bachelor's degree in relevant area, or other related field equivalent work experience. Some positions may only require an Associates degree/technical diploma, or other related field equivalent work experience.
  • Strong computer skills, proficient with MS Office applications (Word, Excel, Access, PowerPoint, and Teams) and familiarity with database technology/management required. Interest in learning and applying new IT tools to assist in departmental goals to improve API departmental efficiencies and support industry subject matter experts.
  • Strong detail and customer orientation required.
  • Excellent communication, interpersonal, organization skills required.
  • Ability to prioritize tasks and work under limited supervision are essential.
  • Experience with web page applications, such as SiteCore, a plus.
  • Occasional travel required.

Physical Requirements

  • Able to remain in a stationary position working on a computer
  • Move about the office to access office machinery, meeting rooms, etc. on occasion
  • Operate a computer and other office machinery such as printers and copy machines
  • Transport items and equipment up to 10 lbs. on occasion

Travel Requirements

  • Up to 25%
