Position Description

Entry Salary: $47,238.10 - $51,961.91

Under administrative direction, the CRA Events Specialist coordinates, oversees and supervises the planning and logistics of special event management, administration, and scheduling for Community Redevelopment Agency (CRA) area events and programs.

Duties and Responsibilities

Essential Functions: -- Essential functions, as defined under the Americans with Disabilities Act, may include any of the following representative duties, knowledge, and skills. Essential duties and responsibilities may include, but are not limited to, the following:

  • Manages, coordinates, administers, and oversees event planning and implementation for Downtown Clearwater; establishes strong relationships with various vendors, manages signage, coordinates permitting, and handles logistics for CRA events; develops social media, website designs, and other graphic designs for events, supervises and coordinates staff during events. 
  • Manages and builds relationships with event and program vendors; ensures compliance with agreements, schedules, and serves as a liaison between vendors and the city; provides conflict resolution and provides management to ensure success.
  • Coordinates the efforts of downtown organizations like AMPLIFY Clearwater, the Downtown Merchant’s Association, and others to ensure that they have the CRA and City resources they need to successfully produce their events.
  • Under the direction of the CRA Public Relations Program Manager, creates events for public spaces in downtown; serves as primary liaison with Parks and Recreation Special Events staff.   
  • Performs a wide range of administrative duties in the daily, weekly, and monthly operations; monitors and maintains budgets and in-kind services; submits budget reports and makes recommendations on budgetary spending; creates invoices for rentals, equipment, and staff time; ensures vendors have up-to-date certificates/licenses; creates and reviews various documents and reports.
  • Performs extensive record keeping duties; ensures compliance with city policies, special events, and other recreation programs; ensures appropriate tracking, reporting, and document filing. 
  • Plans, develops, coordinates, and facilitates various programs and projects involving special events and volunteers.  
  • Delegates, assigns, and directs employees and volunteers at special events and volunteer projects.  
  • May work a varied schedule which may include evenings, weekends, and holidays. 
  • Performs other duties as assigned.

 

Minimum Qualifications

Licenses, Certifications, and Equipment:

A valid State driver’s license is required. 

This position is required to operate the below equipment, machines, tools, and other work aides:

Fax machine, copy machine, phone, personal computer & related software, vehicles, and other equipment as assigned. 

Education and Experience:

Bachelor's Degree in Business or Public Administration, Public Relations, Communications or closely related field AND two (2) years of professional supervisory experience in hospitality, events, overseeing volunteers, accounting, and public speaking; OR an equivalent combination of education, training, and experience may be considered.
